We are seeking an Employee Onboarding Specialist to manage the end-to-end onboarding experience for new hires across our organization. This is a meaningful opportunity to help shape and mature the onboarding and offboarding functions within the Talent Acquisition team by actively improving the systems, processes, and touchpoints that define how people experience joining our company. In this role, you will exercise independent judgment to manage competing priorities, navigate ambiguous situations, and serve as a trusted resource for new hires, hiring managers, and HR partners alike. As one of the first people a new employee interacts with, you will play a direct and lasting role in shaping their impression of our culture.

This is a hybrid role with a 50% on-site requirement in Wilmington, MA

  • Take ownership of tracking new hire’s pre-boarding process, ensuring all required documentation including Form I-9, background screenings, payroll forms, and personal identification, is completed accurately and on time
  • Proactively identify and resolve gaps in new hire task completion, using discretion to determine the appropriate escalation path when issues arise
  • Act as a strategic liaison between new hires, hiring managers, and HR functions, including Talent Acquisition, Payroll, Employee Relations, Benefits, and Compliance, exercising judgment to triage issues and connecting the right parties
  • Communicate with regional location management, providing timely status updates and proactively surfacing risks or delays before they escalate
  • Manage the onboarding email inbox, responding with professionalism and appropriate urgency, and identifying patterns that signal process gaps
  • Coordinate and lead orientation for Wilmington, MA new hires
  • Design and deliver intentional pre-boarding touchpoints that foster a sense of belonging and reflect our company culture from day one 
  • Develop and maintain onboarding materials, resources, and training content
  • Analyze onboarding survey data to identify trends and translate insights into actionable recommendations for process improvement
  • Build and own reports and presentations that measure pre-boarding efficiency, track key metrics, and communicate areas of opportunity to stakeholders
  • Take initiative in identifying and leading improvements to onboarding workflows going beyond day-to-day execution to continuously raise the bar on the new hire experience
  • Complete additional onboarding related tasks as assigned

Compensation Range for this position: $49,692.00 - $66,124.00


Qualifications
  • Bachelor’s degree with a concentration in Business, Human Resources, Organizational Development, or related field required
  • 2-3 years’ experience in human resources, onboarding, employee relations, or professional communications or a combination of work and education experience
  • Strong written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to quickly learn new software Ability to prioritize responsibilities and lead proactively
  • With support and guidance, take ownership of projects and see them through to completion
  • Comfortable speaking with people using various channels of communication including phone, video conference, texting, emailing, etc.
  • Knowledge of federal, state, and local employment regulations to ensure compliant pre-employment documentation (I-9, W-4) is a strong plus
