HR Front Office Coordinator

2504025The HR Front Office Coordinator plays a vital role in ensuring the smooth operation of the HR department. This position is responsible for front desk management, administrative support for HR initiatives, and serves as back up to executive-level assistance to the Chief Human Resources Officer (CHRO). The ideal candidate is highly organized, professional, and proactive, with the ability to handle confidential information with discretion.
Receptionist Duties:
- Serve as the first point of contact for visitors to the Support Services building, greeting and directing them appropriately while maintaining a consistent, people-first approach.
- Manage UniFirst’s main phone line, answering inquiries and routing calls to the appropriate personnel across the organization.
- Assist team partners with general inquiries and direct them appropriately.
- When supporting reception activities in a backup capacity, maintain a consistent, people-first approach.
- Coordinate conference room schedules and assist with meeting logistics.
- Handle incoming and outgoing mail and packages for the HR department.
- Maintain a clean, organized, and welcoming reception area.
- Support HR team members with administrative tasks, such as printing, scanning, filing, and data entry and other tasks as assigned.
- Process incoming mail, invoices, and office supply orders related to HR operations.
Administrative Assistant Duties:
- Arrange travel bookings for the management team and candidates.
- Maintain accurate tracking of excel sheets for budget activities for assigned locations.
- Track voucher/credit card payments for the management team and HR related activities for assigned locations.
- Creation of New Hire Spotlight and Years of Service Awards Presentation.
- Assemble gifts and certificates for Years of Service Event.
- Order Birthday Cards for Team Partners.
- Support the HR Generalist and HRBPs as needed.
- Assist with coordinating HR programs, events, and meetings, including logistics, scheduling, and preparation of materials.
- Manage and update HR-related documents, spreadsheets, and records with high accuracy.
- Support employee onboarding and offboarding processes, including preparation of welcome materials, system access requests, and exit documentation.
- Assist in handling confidential HR correspondence, personnel files, and compliance-related documentation.
- Ensure conference rooms are set up for meetings, training sessions, and other HR-related activities.
- Assist with maintaining office supplies, equipment, and facility requests.
- Partner with IT and Facilities to coordinate workspace arrangements for new hires.
- Partners with legal compliance for location specific documentation (I-9’s, affirmative action, workforce, and benefit administration).
Qualifications
Requirements:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Minimum of 3-5 years in a receptionist, administrative assistant, or executive assistant role, preferably within HR.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain a professional appearance and demeanor at all times.
- High level of discretion and confidentiality.
- Positive, can-do attitude with a focus on customer service and team collaboration.
