The Subcontract Administrator works as a member of the Central Billing team to perform a variety of Subcontracting and Office tasks in support of the Central Billing process. Duties include providing invoice related support to the billing administrators, driving or assisting in all subcontractor related issues, ordering office supplies, working with building management when needed, handling meeting arrangements and various office duties.

Responsibilities:

  • Gathering, preparing and distributing subcontractor invoices to team members. Ensure all information is received and communicate with subcontractors when necessary, including responding to questions and issues on invoices and services and ensuring resolution when necessary.
  •  Process and compile appropriate information on subcontracted accounts such as check sheets for billing administrators, discrepancies in pricing, skipped invoices, etc.
  • Create and send discrepancy reports to subcontractors as required.
  • Monitor and respond to group service requests via management of the team email inbox, to include distributing emails or service requests to the appropriate group member.
  • Maintain appropriate filing systems for subcontractors.
  • Resolve Ad-hoc requests to assist manager with account specific resolution.
  • Establish and maintain effective and cooperative working relationships.

Qualifications

Requirements: 

  • High School degree
  • 1-2 years of related work experience.
  • Proficient in MS Office.
  • Strong organizational skills.
  • Excellent time management skills and the ability to prioritize work.
  • Excellent communication skills (verbal and written).
  • Strong attention to detail and well organized.
  • Additional qualifications as an Administrative Assistant or Secretary a plus.
